Gather a representative sample of the materials you want to offer. Check that each file opens and matches its recorded title. Identify duplicates, incomplete editions and documents needing repair.
Distinguish technical availability from usage rights. Possessing a file does not mean it may be published or downloaded. The institution needs to establish which resources it can provide and on what terms before adding them to the catalog.
Use consistent field names and values. If every record describes a program differently, filters become less useful.

The first import should be small enough to review record by record. Include cases that exercise the workflow: long titles, accented author names, large files and several resource categories.
Check that the catalog and files match. A book count can increase even when documents are missing, so validation must include opening and reading files. Resolve duplicates or mapping errors before expanding the import.
Ask test users to find a resource by title, author and category. Review the reader on a phone and with representative connectivity. A valid document can still be inconvenient if it is too large to access comfortably.
Identify who maintains the catalog, how new resources are added and how the collection will be recovered after a problem. Backups need to cover records and files. Before a bulk cleanup, review the intended outcome and retain a recovery path.
A catalog sample without personal information, approximate file counts, typical file sizes and user roles provide a useful starting point. IOTIC can use this to define your library’s structure, import workflow and acceptance checks.
